AN  UPDATE TO UF ALUMNI ASSOCIATION EVENT CHECK-IN:

In 2015, the UF Alumni Association began scanning driver’s licenses or alumni ID cards at all events.  The intention is to maintain a convenient check-in experience for our guests by making the attendance verification process faster and more accurate. The UF Alumni Association uses this information to authenticate alumni records, to analyze alumni engagement and to budget and program appropriately.

UF Alumni Association employees are trained in data security and are bound by the Association’s policy to protect the confidentiality and privacy of all alumni and other persons.

Individuals who do not want their licenses swiped, or those without barcodes on IDs, can have their name and directory information entered manually at the member services desk.

Q: Why is the UF Alumni Association scanning my driver’s license or alumni ID card at events?

A: The UF Alumni Association and groups that rank universities, Like US News and World Report, measure performance on alumni engagement.  The attendance analytics derived from scanning driver's licenses will help the association track attendance and help plan future programming.

Q: How is information used?

A: The UF Alumni Association uses the information contained on your driver’s license to identify you and track that you attended an event. We will use your name, address and DOB to locate your alumni record. The data fields collected and used to authenticate an alumnus/alumna record are: first name, middle name, last name, gender, address, city, state, zip code and birth date.

Q: How is my information protected?

A: Data is scanned from driver’s licenses using a hard-wired connection that is attached to a UF Alumni Association computer.  Both the laptop and the secure scan are encrypted for security. The information scanned is just the primary contact detail outlined above, and we do not capture or store your driver’s license number. The scanner and laptop always remain in the presence of a UF Alumni Association staff member. Processing of the event participant information is done on our secure network and is protected by multi-layers of security.

Q: Does this practice comply with state law?

A: Yes, this practice is in compliance with state law. The information collected is not released to third parties and is captured through a secure process.

Q: What happens if the magnetic strip on my license is damaged, my ID does not have a barcode, or I choose not to have my license swiped?

A: Entrance into the event is still permitted, simply visit the Member Service Desk to have your name and directory information entered manually.

Q: Will I still need a wristband after I check-in at registration with my alumni membership card and/or state-issued driver’s license?

A: Yes, for the Gator Nation Tailgates a wristband will allow guests to enter and exit the event freely at their will.

Note:  Gator Nation Tailgates are a family friendly event.  Please dress accordingly as shirt, pants and shoes are required for entry.
